Scheduling Procedures and Guidelines

Procedures

  1. Video Support Services will contact all receive sites to verify that video rooms and equipment will be available for the event being scheduled and to obtain the receive site information requested in the Videoconference Scheduling Form.
  2. VSS will then complete and submit one Videoconference Scheduling Form for each event.
  3. ISDN and/or IP codecs must be validated two weeks before a class or event. For semester courses, please see Deadlines and Important Dates
  4. ACCNet will verify the information and test connectivity and functionality at the scheduled test times.
  5. Classes and events will be connected at least 15 minutes prior to actual class/event time to allow for troubleshooting.

Guidelines

  1. ACC must have at least two weeks notice to schedule a class or event. For semester courses, please see Deadlines and Important Dates.
  2. Sequential events must be scheduled at least 15 minutes apart, unless the same sites are involved in both events.
  3. All change requests for scheduled events must be received by ACCNet at least 48 hours before the event is to occur.  
  4. Video Support Services is responsible for resolving conflicts within their scheduled events before submitting the Videoconference Scheduling Form.
  5. Please use the Web-based Videoconference Scheduling Form to request new events or to change previously requested events.
