PROCEDURE 

Office of Human Resources

Guidelines on Faculty Contracts

1.    In August of each academic year, the Office of Human Resources will generate 10 ½ month contracts for full-time classroom faculty and counselors, and 12 month contracts for librarians.

2.    The contracts will be sent to the appropriate Dean/Supervisor for distribution.

3.    The full-time classroom faculty and counselor contracts shall be returned directly to the Office of Human Resources, Records Section, by the deadline date.

4.    The head librarian and librarian contracts shall be signed by the supervisor and LRS Director and submitted to the Office of Human Resources, Records Section, by the deadline date.

5.    Only under exceptional circumstances may a signed nine month contract be adjusted to a 10½ month contract.  A written request for modification must be made to the Executive Vice President for Instructional Affairs with substantial justification provided.  Such request may be granted or denied at the discretion of the Executive Vice President for Instructional Affairs.  If the Executive Vice President for Instructional Affairs is inclined not to approve the request, the Executive Vice President shall meet with the faculty member to discuss the request.

6.    Only under exceptional circumstances may a full-time librarian request approval for a 10½ month contract at the beginning of the contract period.  The faculty member must discuss the circumstance with and receive approval from the immediate supervisor.

7.    The full-time faculty classroom shall have the following payment options:

        a.    10½ month contract paid in 9 equal payments;

        b.    10½ month contract paid in 11 equal payments;

        c.    10½ month contract paid in 12 equal payments;

        d.    9 month contract paid in 9 equal payments;

        e.    9 month contract paid in 12 equal payments.

8.    Counselor contracts shall have the following payment options:  

        a.    10½ month contract paid in 9 equal payments;

        b.    10½ month contract paid in 11 equal payments;

        c.    10½ month contract paid in 12 equal payments.

9.    Librarian faculty shall have the following payment options:  

        a.    12 month contract paid in 12 equal payments;

        b.    10½ month contract paid in 11 equal payments;

        c.    10½ month contract paid in 12 equal payments.

10.    If a faculty member elects a contract option, which is subsequently changed, it may be necessary to adjust the salary payment schedule and the faculty member will be advised in writing prior to implementation of the change.

11.    If a faculty member elects a contract option and is subsequently unable to comply with the teaching obligation- -but has been paid for work not performed- -the faculty member may elect a salary reduction, pay the obligation in a lump sum, or be assigned an appropriate workload, in addition to the normal workload, to make-up for the amount due.

12.    The Office of Human Resources shall provide a report on faculty contracts to the appropriate Associate Vice President, Dean, Department Chair, and Faculty Senate President.  The Office of Human Resources shall also notify the Payroll Manager of any pay changes that need to be made in an employee's pay schedule.
