Using Webmail at ACC

Introduction

Webmail is an option that offers ACC employees off-site access to email stored on the ACC email server. The application is available from any computer with a web browser and Internet connection.

Purpose

These instructions are designed to show users how to access, compose, and delete ACC email using the WEB interface. Webmail allows users to read and write email while away from their ACC office.

Logging into Webmail

1.  Open your internet browser. You can find the link on the ACC homepage http://www.austincc.edu/ in the lower right corner under Faculty Staff Webmail, or in the address box type http://webmail.austincc.edu/ and hit the <Enter> key.

2.  Click the button for Log in to WebMail.

3.  Enter your ACC email username and password and click the Log In button.

Note: Your username and password are the same as your login and password for ACC email. Call the Help Desk if you have forgotten your login/username or password.

 

Using the Mail Feature

1. Click the Mail link to check email. 

2. To check mail, click INBOX in the Folders drop-down menu and then click the Go button. 

Note: Email in the INBOX is not downloaded to the computer that you are using to access the email.

INBOX Options

  • Click on the Subject of the email to read it.

  • Click on column heading to sort by [date], from or subject.

  • Click on Refresh to update screen.

  • Click on Empty Trash to remove email that has been marked for deletion.

  • Click New Message to compose a new email.


Response Options

  • Click Reply to respond to sender.

  • Click Reply to all to respond to sender and all other recipients.

  • Click Forward to send this email to a third party.

  • Click Delete to mark the email for removal from the server.

Note: Email that is marked for deletion is not removed from the screen or the server until the Empty Trash button is clicked.

  • Click New Message to compose a new email.

Note: The address book on your local computer will not show up here.

  • Click Back to “INBOX” to return to previous screen.

 

Viewing Attachments

Attachments are indicated by an icon of a paperclip on yellow paper:

To view an attachment, follow these steps:

1. Click the subject to open the letter.

2. Click the name of the attachment.

3. Choose Open or Save to view the attachment or to save the attachment to your local computer. 

Note: Your e-mail remains on the server while using Webmail. Therefore, your letters as well as your attachments will remain intact and you will be able to download them as normal when you return to your ACC office.

3. Click Logout when finished.

Note: When logging out, it is recommended that you close the browser and reopen it.

Importing Outlook Address Book into Webmail

 

You can import your contacts from Outlook or Outlook Express into the Webmail mail system. 

First, you will need to export your addresses from Outlook as a "csv" file and save it to your desktop. To export your contacts, follow these steps:

1. Note which major version of Outlook the Address Book will be imported from: Outlook 2003, or Outlook Express.

2. Open Outlook and choose Export > Address Book from the File menu. The Address Book Export Tool window will open. 

3. Choose Text File (Comma Separated Values) and click the Export button.

4. Click the Browse button in the Save As box, expand the Save-in list, and choose Desktop as the location to save the Address Book text file.

5. Leave the Save As type Comma Separated Values (*.csv) and type a file name in the File name box. Don’t type .csv at the end of the file name. The .csv extension will automatically be added when you save the file. The Save as box will close and the CSV Export box will be redisplayed. 

6. Click the Next button to continue. The next display lets you check the fields to Export. 

7. Check every field on the list. Make sure that every box is checked even if you don’t use every field in the Address Book to insure that all your contact information is correctly imported into Webmail.

8. Click Finish to finish exporting the Address Book.

9. Click OK in the box that says the Address Book export process has been completed and click Close on the Address Book Export Tool box.

Now you are ready to import your contacts into Webmail. Follow these steps:

1. Log into Webmail and select Contacts on the Webmail menu.

2. Click the Import link near the top right corner of the Contacts page.

3. Choose the version of Outlook you exported the Address Book from on the Import from list. If you exported the Address Book from Outlook Express select Outlook Express (all fields) from the list.

4. Click the Browse button next to the From file box. Find and open the Address Book text file you saved to your desktop.

5. You can select a group to import the Contacts into from the drop down group list, or you can leave the group as unfiled. If you leave the group unfiled, you can move or copy the addresses to a group later.

6. Click the GO button to finish importing the Outlook Address Book into Webmail.

After you have finished importing the Address Book from Outlook into Webmail, you can delete the Address Book text file from your PC desktop.

Notes:

If you already had contact records in Webmail when you imported new contacts from Outlook, the existing contact records will be displayed sorted by nickname among your new contact records. The new contacts won’t be grouped together at the beginning or the end of the contacts list.

The nickname field in Webmail contacts corresponds to the Display field on the Name tab section of an Outlook Address Book entry. If you want your Webmail contacts sorted alphabetically by last name, type a person’s name with the last name first in the Display field on the Name tab of the Address Book entry.

If you import a contact into Webmail that already existed, any changes in the contact information imported from Outlook will replace the old information in Webmail.

Other Webmail Features

Options

Options allows you to manage some of the more advanced features of Webmail. These include the following:

  • Groups
  • Preferences

       Groups allows you to manage and optionally share information     with others.

       Preferences allows you to manage user preferences in a single     area.

Announcements

This area displays important messages for all users.

Recent Mail

Recent Mail displays the five most recent messages in your inbox. This area can be disabled through the preferences screen if you do not want to see it.

Schedule

This area displays any events you have scheduled for today. This area can be disabled through the preferences screen if you do not want to see it.
