What is Datatel Colleague?
Datatel Colleague is an information management system adopted by ACC in 1997. Datatel Colleague maintains important information for ACC: It includes modules called Financial, Human Resources, and Student System. The Core module enables the user to enter and modify information that affects the other modules.
How is Datatel accessed by ACC employees?
The Datatel Colleague program resides on a server at the ACC Service Center. But you can access Datatel from your computer at work or at home as long as you have a Datatel account. (Your supervisor should contact IT to request permission for a Datatel account. Have your supervisor e-mail IT Operations at itops@austincc.edu with your name, SSN or Datatel ID, e-mail address, and job title. Your Datatel ID can be found on your Faculty/Staff ID card.)
You will be using a program called Datatel UI to access Datatel Colleague. UI stands for "User Interface" and it will allow users to access the Colleague database via a Graphical User Interface (GUI). GUI is the basic windows interface that allows users to use their mouse to point-and-click to navigate various screens. You can download UI from the ACC Intranet site. You do not need the program installed to work with this tutorial.
ACC maintains strict confidentiality and security of records in compliance with the Family Educational Rights and Privacy Act of 1974 (FERPA), the Health Insurance Portability and Accountability (HIPAA) and other federal and state laws, as well as, corresponding ACC governing policies, rules and procedures.
Employees are authorized to access such private information as a condition of employment to the extent necessary to perform their job duties.
It is the legal and ethical responsibility of all Austin Community College employees to protect against unauthorized access to such information, ensure the security and privacy of such information, and disclose any anticipated threats or hazards to such information to your supervisor.
ACC faculty and staff are not authorized to share logins and passwords to any ACC electronic information systems. If someone believes that a login and password has been compromised, it should be reported immediately to the Information Technology Help Desk so that the password can be reset.
If an ACC employee requires specific access to perform their job duties, that employee should request the appropriate access through their supervisor, whether the access is temporary or permanent.
