Open Communication Committee

Meeting Minutes - March 26, 2002

The first meeting of the Open Communications Committee (OCC) was held on March 26, 2002.
Attending: Debra Granville, Jerry Haba, Marcela Nouzovska, Barbara Opyt, Sharon Pierce, Linda Schulz

The group discussed the results of the focus group meetings and made a list of problem areas that related to open communications, and a corresponding list of suggested actions to address some of those problem areas. There are several actions already ongoing that the committee also wants to recognize.

We also discussed a possible OCC mission statement, such as: "To improve the mission performance of CE through open and effective communications."

Problem Areas:

  1. Communication between CE departments (for example, new programs)
  2. Communication about budgets / financial issues
  3. Personal communications / conflicts (for example, best way to share ideas)
  4. No procedures for the suggestion box, and no privacy
  5. Not knowing program responsibilities of others


Suggested Actions:

  1. CE Monthly Meetings
  2. Dean's Page (ongoing)
    1. Add Committee Reports and/or links to committee websites
    2. The OCC will have a website (Marcela)
    3. Add links to board meeting information
  3. Suggestion Box Procedures
    1. Alternative names: Problem Box, Help Box, Opinion Box
    2. To be opened by the OCC and then forwarded to the appropriate parties
    3. Move to near the Coffee Machine/Sign in forms for more privacy
    4. Discussed sending an announcement of new procedure and location via email to encourage contributions
    5. Will add a place for questions and comments on the OCC website
  4. Share best practices and proven solutions between departments and individuals (through personal conversations and the electronic suggestion box)
  5. Update the master list of coordinators, admins, and their programs (Jerry)
  6. Share a list of upcoming external meetings that CE staff will be attending


The next meeting of OCC will be April 30th at 1:00pm. Every member of CE is invited to attend.
