Tools for doing ACC tasks - Instructions:

1. Take a class roster from ACC Online and put it into a spreadsheet and then a word-processing program easily.

I recommend that you have one window open with these instructions and then another window where you do your work. Then it will be easy to get back to the instructions.

Overview: Open this application and ACC Online at the same time. They can be in the same window or in different windows. Call up your roster in ACC Online, copy the whole thing, including the course information at the top of it, paste it into the application, use the button to extract the relevant information, and then paste the result into a spreadsheet. If you copy it from there into a word-processing document, it will create a table of the information.

Detailed instructions:

a. Open the "Extract Roster" page (www.schoolsupport.net/Roster/) and bookmark it so that it is easy to get back to.

b. Open ACC Online Services (https://onlineserv.austincc.edu/WebAdvisor/WebAdvisor) and log in.

c. Call up the roster you want to copy. (Select Class Roster, then select the semester, then select the course.)

d. With your cursor somewhere on the page, hold down Crtl and hit A to select (highlight) the contents of the entire roster screen, including the class info at the top.

e. Do File > Copy to copy this to the clipboard. (Or Ctrl C)

f. Go to the "Extract Roster" page using your bookmark.

g. Put your cursor in the blank box in the middle, and choose File > Paste to put the text that includes the roster information in here. (Or Ctrl V)

h. Click on the button at the bottom called "Extract Text for Table." That cleans up the material in the box.

i. Copy the material in the box to your clipboard. (Select it all, then File > Copy) (Or Ctrl C)

j. Open a blank spreadsheet and paste it in. (File > Paste) (Or Ctrl V)

k. Now you have a spreadsheet with your roster. If you want a word-processing document with a table with this information, just copy it from the spreadsheet and paste it into a word-processing document. That will produce a table.


2. An efficient way to send an email message to any of your students who have an email address in the ACC Online system.

I recommend that you have one window open with these instructions and then another window where you do your work. Then it will be easy to get back to the instructions.

Overview: Start this just like the previous task. After you have the roster in our application window, then choose the option to "List Student ID Links." When you do that, each of the email addresses will have a link. When you click on it, it will open an email message to that address.

Detailed instructions:

a.-g. Follow the steps (a.- g. above) to copy your class roster into the "Extract Roster" window.

h. Choose the other button "List Student ID links." That will produce a page where each student is listed with her student ID number and email address. Those have links.

i. Click on the email address to follow that link. That should open an email message in your default email program and the message will be addressed to that student.

j. Complete the message and send it.

Note: For this task, it is acceptable for the "Extract Roster" page and ACC Online to be in separate windows.


3. Take the online course schedule and put it into Excel easily.

I recommend that you have one window open with these instructions and then another window where you do your work. Then it will be easy to get back to the instructions.

Overview: Open a particular department's online schedule page and the application page. They can be in the same window or different windows. Copy the information from ACC's online schedule page, paste it into the blank window in the application, choose the button to extract the information, and then copy and past the resulting information into a spreadsheet.

Detailed instructions:

a. Open the ACC schedule. (www3.austincc.edu/schedule)

b. Call up semester and department listing that you want to copy.

c. Select (highlight) the contents of the schedule, including the information at the top - definitely include the beginning with the name of the session because that is needed. (One way: When the page is on the screen, hit Ctrl A to select the entire contents of the screen.)

d. Do File > Copy to copy this to the clipboard. (Ctrl C)

e. Open the "Extract courses " page. (www.schoolsupport.net/CourseSchedule/)

f. Put your cursor in the blank box in the middle, and choose File > Paste to put the text that includes the roster information in here. (Ctrl V)

g. Click on the button at the top called "Extract Text for Spreadsheet." That cleans up the material in the box.

h. Copy the material in the box to your clipboard. (Select it all, then File > Copy or Ctrl C)

i. Open Excel and paste it in. (File > Paste or Ctrl V) Now you have a spreadsheet with the schedule.
