What is nonprofit standard mail?
Nonprofit standard mail is printed matter such as pamphlets, newsletters,
direct mail or merchandise that weighs less than 15 ounces and is
eligible for nonprofit rates and is mailed by an authorized nonprofit
organization.
What types of mail are not eligible?
Any advertisements that promote credit, debit or charge cards are
always prohibited at non profit standard mail rates.
Is there a minimum requirement for being eligible for bulk mail?
There is a 200 piece minimum qualification for bulk mail.
Bulk Mailing Basics:
Plan ahead and let SVC mailroom staff review the sample to make
sure it will qualify. Before you begin the process, please submit
a sample copy of mail to be mailed at non-profit rates to the SVC
mailroom to make sure it meets the requirements.
Plan to prepare the mail in advance to allow for processing and
delivery time. It takes a week or more for processing time.
All mail pieces must be identical weight, same color of stock paper
and same number of sheets with same fold. Address labels cannot
be hand written.
If you have your bulk mail printed at our HBC Duplication Office,
please specify that you will require the bulk mail Indicia Permit
Number printed on all your mail.
SVC mailroom will require that you submit a print out of all your
address labels in zip code order.
Sorting Process:
On a sheet of paper, record the number of mailings you have by zip
code:
Step 1: Sort all you 787 and 789 zip codes, counting the total
for each. Record the totals.
Step 2: Sort all you 786 zip codes and record a total amount for
that zip code.
Step 3: Gather the remaining zip codes and record a count of those
zip codes under the heading "other zip codes."
Step 4: Submit a postage charge slip listing your department account
number along with the zip code information sheet and submit these
two documents with your mailing.
