Understanding the College Records Retention Schedule |
One of the requirements of the Local
Government Records Act is that all local governments prepare a Records Retention Schedule listing all records created or received by the local government.
The ACC Records Retetnion Schedule (hereinafter referred to as Schedule)
was prepared in compliance with the Act and has been approved by the
State for implementation at the College.
The retention periods contained in the ACC Schedule are based on the
mandatory minimum retention periods listed in the following schedules
issued by the State Library:
Local Schedule GR: Schedule for Records Common to All Governments
Local Schedule EL: Schedule for Records of Elections and Voter Registration
Local Schedule JC: Schedule for Records of Public Junior Colleges
Local Schedule PS: Records of Public Safety Agencies
The Schedule is divided into four columns: Record Series Number, Record
Series Title, Retention, and Disposition/Comments. An explanation of
each column follows: |
Column 1 - Record Series Number.
The State has assigned a unique number for each record series listed
in the Schedule. This number cannot be changed by the College. In the
event a record series is established for which a number does not already
exist, the State will provide an identifying number.
Column 2 - Record Series Title.
This column identifies the title of the record series and, where appropriate,
describes the different types of records which typically are created
within the series. In some instances, a "Retention Note" has
been added to provide further information regarding the retention of
a particular record series.
Column 3 - Retention. The minimum
retention period for each record series is indicated in this column.
Unless otherwise stated, the retention period for a record is in calendar
years from the date of its creation. The retention period applies only
to an official record as distinct from convenience or working copies
created for informational purposes.
Column 4 - Disposition/Comments. This
column provides information relative to the destruction of records,
identifies ACC's vital records, and includes comments that may apply
to a particular record series. (Also see more detailed information
